Hello,

 Thanks so much for meeting with me this week to show you the Review Tool. There is a lot of info in this email! Please save this for future reference.

 

  • Here is the Sandbox “test” environment for Salesforce link: Log In Using | Salesforce

  • Use App Review Tool from the muffin tin/app launcher to start reviewing applications in test (you can do this to practice, if you wish)

  • I have confirmed you do have access to the App Review Tool in the sandbox/test environment (use the link above).

  • We will be sure you have access to the Salesforce production environment when we go live. We will be moving all of this to the live CRM production environment before the launch.

 Three PDF training guides for your Review Tool processes. Just a reminder: the link in the guides goes to the production/live version of salesforce and will not have access to any of your review tool processes. Use the above Sandbox test link to test before the launch 2/5/24.

Decision Letters

*NOTE: I failed to recall we built a “reply to offer” option for the applications you accept. When you make the decision of Accepted within the App Review Tool, those students will have 7 days to accept or decline the spot in the program.

  • If they decline the spot offered, they will be changed to Denied status, will be admitted to OTC as a general student, will be put in the AA.GEN program, will have an Admissions Counselor assigned from the general, non short term pool.  

  • If they accept the spot offered in the program, their active program will be the program specified on the application.

  • If they apply to more than one program and are accepted, or are currently in a program and apply to a short term program, they may have more than one active program. We are working through what this looks like with leadership.

  • When you make the decision of Deny within the App Review Tool, they will be put in AA.GEN and assigned a general (non-Short Term Allied Health) Admissions Counselor.

  • Please see the attached document: Short Term Decision Letter Pathway. This guide shows the entire decision flow and what communications students see. Please let me know of any changes.

 

We have created a new application review list in the App Review Tool in the Sandbox test environment called “Short Term AH – All First Review”. This list will pull all applications in the “first review” App Review Tool queue with program/course name and the date the application review pathway was created. This way, you will see all applications in one spot that are currently in one of your “first review” application review lists. 

 

 

 We currently have all short term applications set to allow an optional upload request for the high school transcript. The following are the only programs that include the high school diploma/completion as part of scoring on the App Review Tool Scorecard section on the “first review” pathway and “hold – need info” review pathway. Does this look right to you? Please let me know if you want any of that changed.
