Email Signature Suggestions

Ozarks Tech's Information Technology (IT) department recommends email signatures follow these guidelines for accessibility, conciseness, and consistency across platforms.

Avoid:

  • Animated Pictures:

    • GIFs or other animations may be distracting, or cause long email load times on devices with a slow connection. Visually stimulating motion may also trigger motion sickness in individuals.

  • Colors:

    • Colors will distract from elements of the email, and may display odd on devices with a dark appearance enabled. Use of colors may also obfuscate information from colorblind individuals.

    • Use the “Automatic” text color:

      The ribbon of an Office product, cropped to show the Automatic option under the text colour selector.
  • Lengthy Passages:

    • Irrelevant passages will distract and obfuscate relevant contact information. Legal disclaimers, despite their length, are allowed since they are required by some departments.

  • Pictures:

    • Pictures may be distracting, or cause scaling issues when viewing an email on devices with differing screen sizes.

Include:

  1. Name

  2. Title

  3. Department

  4. Organization

  5. Contact Information
