EDS Review Tool
Hello,
Thanks so much for meeting with me this week to show you the Review Tool. There is a lot of info in this email. Please save this for future reference.
Links and Reminders:
Here is the Sandbox “test” environment for Salesforce link: Log In Using | Salesforce
Here is the link to fill out the application as a pretend student, see the decision letters after review, etc: https://ozarkstech--full.sandbox.my.site.com/apply/
Use App Review Tool from the muffin tin/app launcher to start reviewing applications in test. You are welcome to submit applications, verify FAFSA checkbox, go through review tool, view decision letters to practice, if you wish.
We will be sure you have access to the Salesforce production environment when we go live. We will be moving all of this to the live CRM production environment before the launch.
I have attached the following documents:
Four PDF training guides for your Review Tool processes. Just a reminder: the link in the guides goes to the production/live version of salesforce and will not have access to any of your review tool processes. Use the test links above to submit applications or go through the review tool as a test before the launch 2/5/24.
Two word documents – EDS Decision Letter Pathway and the guide to working through the EDS Selective FAFSA Checkbox.
Decision Letters and Reply to Offer:
When you make the decision of Accepted within the App Review Tool, those students will have 7 days to accept or decline the spot in the program.
If they decline the spot offered, they will be changed to Denied status, will be admitted to OTC as a general student, will be put in the AA.GEN program, will have an Admissions Counselor assigned.
If they accept the spot offered in the program, their active program will be the program specified on the application and Admissions Counselor is assigned.
If they apply to more than one program and are accepted, or are currently in a program and apply to a short term program, they may have more than one active program. We are working through what this looks like with leadership.
When you make the decision of Deny within the App Review Tool, they will be put in AA.GEN and assigned an Admissions Counselor.
If the student is a current student and already has a College Navigator assigned, it will not assign an Admissions Counselor and the College Navigator’s information will show in the decision letters and emails.
We have built a CRM report for you called “Reply to Offer Status – All”. This report shows all programs with selective admission, grouped by program, all applications that have an initial Accepted decision status from the App Review Tool process, and includes the Reply to Offer field. The report is saved in the Application Reports folder. The “Deposit Intent to Enroll” column on this report will show the status of the Reply to Offer, per the following:
Yes = Accepted the spot in the selective program before the 7 day deadline
No = Declined the spot in the selective program before the 7 day deadline
- = The dash represents BLANK. This means, the student has not yet replied to the offer for a spot in the program.
Updates discussed:
Prior to February 5, 2024 launch date | After initial February 5, 2024 launch date, prior to May 2024 | Already Updated |
We will add the points to the DOT/CDL selection and update the label to include (20 for CDL w/o restrictions except age; 10 for DOT physical; 0 for Neither) | We will look into a way for you to subscribe to the Reply to Offer report so you can be notified when students are added | Added Kara’s phone number instead of Keiths in the “by submitting” section for FAQ and process sign off |
We will add the 2.5 point “Adequate” option to the Essay question scorecard selection. | Remove the leadership question from the review tool scoring. I have confirmed this is NOT a question on the application. | Added decision notes column to all process list views, except First Review. |
We will add the points to the Scholarship selection and update the label to include (10 for OTC or Foundation; 20 for Electric; 0 NA) | Add another choice in the Admissions Decision section for ACCEPT-RVC or ACCEPT-LEB. Then, we will map the choice selected for final accepted decision to the student location in Colleague and CRM which will allow us to merge that specific information into the decision letters. |
|
| Add Application process sign off and FAQ fields back into the application questions instead of just “by submitting statement”. Also will add this to all scoring pathways and lists. Are there points associated with this for scoring? |
